What data we collect, what we use it for, and what your rights are. This policy applies to the WarmzBord website and platform.
We abide by the following GDPR rules to protect your privacy:
The WarmzBord platform is operated by Greenchange Ltd, trading as WarmzBord, of Walford Cross Industrial Estate, Taunton, Somerset, TA2 8QP. We are the data controller for the personal data described in this policy. For some activities we rely on external processors (as described under "Information security").
You can contact us about your data at any time by email at info@warmzbord.com, or in writing at the address above, to request:
You can visit our websites without telling us who you are or revealing any personal information about yourself. The only information we gather during general browsing — aside from the IP address — is mostly anonymous traffic data including browser information, device information, and language.
While you can use our website without giving out your personal information, once you sign up, request information, provide feedback, or subscribe to an electronic mailing list, you will be asked to provide personal information. The information you provide (such as your name, email address, organisation, etc.) will be processed and stored so that we can contact you and respond to your request, or allow you access to our services. The information is collected only with your knowledge and permission, and is kept in various databases and mailing lists.
When you use the WarmzPlan quoting tool we store the project details you enter — such as room dimensions, product selections and the resulting bill of materials — against your account, so you can return to your project, generate quotes and place orders.
When you place an order we collect the details needed to fulfil it, including your name, contact details and delivery address. If you pay by card, your card details are entered on a secure page hosted by our payment provider (Stripe) and are handled entirely by Stripe. We do not see or store your full card details at any stage. We retain a record of your orders and invoices for accounting and legal purposes.
You may provide us with your personal data by corresponding with us by email, phone, or through the support tools on the platform. We may also receive limited information from our service providers — for example our payment provider confirming whether a payment succeeded. Before we add you to any marketing mailing list, we will ask for your explicit consent.
Where an application is made by an individual for employment with us, the data will be stored in an electronic database and retained according to our data retention policy.
We reserve the right to use photographs, artwork, and similar media of our customers on our website and in any of our future publications, where appropriate consent has been given.
We use Google Analytics and browser cookies to improve our service, your experience, and to understand how the website is used. The information gathered anonymously during general browsing is used to provide an overview of how people are accessing and using the website — we do not use it for profiling, marketing, or any additional purpose.
We use your personal data to:
We take care to ensure the security of your personal data. We do not sell or share any personal data with third parties except when it's necessary to complete our functions.
Personal data is not used in ways other than as set forth in this privacy policy or in ways to which you have explicitly consented.
Our staff who have access to, and are associated with the processing of, personal data are obliged to respect the confidentiality of business matters, including personal data.
Our website is secure, encrypted, and professionally managed to the highest standards. All necessary measures are taken to protect personal data against theft or compromise according to industry practices.
We share personal data with the service providers that help us run the platform, only as far as they need it to provide their service to us. These include our payment provider (Stripe, which processes card payments and payouts), our delivery partners (to fulfil your order), and our email provider (to send order confirmations, invoices and notifications). Each operates under its own privacy policy.
The website may link to other sites or include plug-ins for social media pages. Once you follow such a link you will be on a different website with its own privacy policy, which you should consult. We are not responsible for the privacy practices or content of those sites.
We do not disclose your personal data except in the limited circumstances described below:
Providing personal data on our website is optional. You can choose not to provide personal data; this will allow you to browse and use the website, but you will not be able to carry out certain actions (such as logging in or making a purchase).
If you are a registered user of the website with a login, we provide you with tools and account settings to access the personal data you provided to us.
If you are not a registered user but we hold your personal data, you can contact us and request an electronic version of all the personal data we have about you.
If you do not want to receive emails or to be contacted by us in any way, all marketing emails sent by us contain a link to unsubscribe automatically. You can use this link, or you can contact us to issue a request via the Contact Form.

Where a commercial transaction has taken place, or where other information has been supplied (such as a job application), we reserve the right to retain the information for any accounting, legal, or safeguarding reasons.
We retain personal data for as long as a user account is active, or otherwise for a limited period of time, as long as we need it to fulfil the purpose for which we collected it and where there is legitimate interest.
We reserve the right to change this Privacy Policy. All changes will be available on the website.
